This policy explains what information Counterbee collects, why we collect
it, how we use it, and the choices you have. It applies to the Counterbee
mobile application, the Counterbee booking pages, and this website
(together, the Service).
Counterbee is operated from Nigeria. By using the Service you agree to this
policy. If you do not agree, please do not use the Service.
1. Who we are
Counterbee provides business management software for small businesses,
including point-of-sale, inventory, rental, booking and invoicing tools.
For any question about this policy or your data, contact us at
getcounterbee@gmail.com or on
WhatsApp at +234 705 140 3290.
2. Information we collect
2.1 Information you give us
- Account information. Your name, email address, phone
number, business name, business address and password when you register.
- Business data. The information you enter while using the
Service: items, prices, stock levels, sales, invoices, bookings, expenses,
staff accounts and similar records.
- Customer information. Details about your own customers
that you choose to record, such as names, phone numbers, email addresses
and transaction history. You control this data; we process it on your
behalf.
- Photographs. Images you upload of items, goods at
handover or return, and handwritten order sheets.
- Payment and bank details. Bank account information you
enter so that it appears on your invoices and receipts.
2.2 Information collected automatically
- Device information. Device model, operating system
version, unique device identifiers and application version.
- Usage information. Features used, actions taken within
the app, and timestamps, used to diagnose faults and improve the Service.
- Log and diagnostic data. Error reports and crash logs,
which may include the state of the application at the time of a fault.
- Network information. IP address and connection status,
used to synchronise data and to determine whether the device is online.
2.3 Permissions the mobile app requests
- Camera. To photograph items, record the condition of
goods, scan barcodes and capture handwritten order sheets. Used only when
you choose one of those actions.
- Photos and media. To let you select existing images
from your device.
- Storage. To store business data locally so the app
works without a network connection, and to save generated PDF invoices and
receipts.
- Internet and network state. To synchronise your data
with our servers and to detect whether a connection is available.
- Notifications. To alert you to reminders, overdue
returns and sync events. You may disable these in your device settings.
We do not request access to your contacts, call logs, SMS messages or
precise location.
3. How we use information
- To provide, operate and maintain the Service.
- To create and manage your account and authenticate you.
- To synchronise your business data across your devices.
- To generate invoices, receipts, agreements and reports.
- To send reminders and notifications you have enabled.
- To send transactional messages such as booking confirmations to your
customers, at your instruction.
- To diagnose faults, prevent abuse and improve reliability.
- To respond to your support requests.
- To comply with legal obligations.
We do not sell your personal information. We do not sell your customers'
information. We do not use your business data to train advertising models and
we do not show advertisements in the Service.
4. Artificial intelligence features
Some optional features use third-party artificial intelligence services to
read text you provide:
- Pasting a customer's message so that it can be turned into an order.
- Photographing a handwritten job sheet so that it can be read.
When you use one of these features, the text or image concerned is sent to
Google's Gemini API for processing and a structured result is returned. These
features are optional and are only invoked when you explicitly choose them.
We do not send your full database, your customer list or your financial
records to any artificial intelligence service.
5. How information is shared
We share information only in the following circumstances:
- Service providers. With companies that help us operate
the Service, including hosting providers, email delivery providers, SMS
providers and payment providers. They may process data only on our
instructions and for the purposes we specify.
- Your own instruction. When you send an invoice, receipt
or booking confirmation to a customer, or share a report.
- Legal requirements. Where required by law, regulation,
legal process or an enforceable governmental request.
- Protection of rights. Where necessary to investigate or
prevent fraud, abuse, or threats to the safety of any person.
- Business transfer. If Counterbee is involved in a
merger, acquisition or sale of assets, your information may be transferred.
We will give notice before your information becomes subject to a different
privacy policy.
6. Third-party services we use
- Google Gemini — optional order and job-sheet
reading features.
- Paystack — payment links, where you enable them.
Card details are handled by Paystack and are never stored by Counterbee.
- Brevo — delivery of transactional email such as
booking confirmations.
- Africa's Talking — delivery of SMS messages,
where you enable them.
- Firebase Cloud Messaging — delivery of push
notifications.
Each of these providers operates under its own privacy policy.
7. Where data is stored
Your business data is stored locally on your device and on servers operated
on our behalf. Servers may be located outside Nigeria. Where data is
transferred internationally, we take reasonable steps to ensure it remains
protected in accordance with this policy.
8. How long we keep information
We keep your business data for as long as your account is active. If you
close your account, we retain data for up to ninety days to allow for
recovery, after which it is deleted or anonymised, except where a longer
period is required by law.
Certain records, such as the audit log of changes to sales, are retained in
an append-only form for the life of the account. This is a deliberate design
decision which protects both you and your customers against records being
altered after the fact.
9. Security
We take reasonable technical and organisational measures to protect your
information, including encrypted connections (HTTPS/TLS), hashed passwords,
access control by role, and a tamper-resistant audit log.
No method of transmission or storage is completely secure. We cannot
guarantee absolute security, and you are responsible for keeping your account
credentials confidential.
10. Your rights and choices
- Access. You may view your business data in the app at
any time and export it where export is available on your plan.
- Correction. You may correct your account details in the
app's settings.
- Deletion. You may request deletion of your account and
associated data by contacting us. We will act on the request within thirty
days, subject to any legal retention obligations.
- Notifications. You may disable push notifications in
your device settings.
- Marketing. Any marketing email we send includes an
unsubscribe link.
11. Your responsibilities as a business
When you record information about your own customers in Counterbee, you are
the controller of that information and we process it on your behalf. You are
responsible for collecting it lawfully, for telling your customers how you
use it, and for obtaining consent where consent is required — for
example before sending them marketing messages.
12. Children
The Service is intended for use by businesses and is not directed at
children under the age of sixteen. We do not knowingly collect personal
information from children. If you believe a child has provided us with
personal information, please contact us and we will delete it.
13. Changes to this policy
We may update this policy from time to time. When we do, we will revise the
date at the top of this page. If the change is significant, we will give
notice in the app or by email before it takes effect.
